Renting equipment can be one of the smartest ways for small contractors to stay agile, avoid heavy capital investment, and finish jobs on time.
But with that flexibility comes a few recurring questions, especially around insurance, liability, billing, and service.
Below, we will walk through some of the most common questions contractors have about renting tools and heavy equipment, based on industry standards, and then show you exactly how RentX in Lindale, TX handles each situation.
Do I Need Insurance to Rent Heavy Equipment?
Common Industry Practice:
Most rental companies require you to provide proof of insurance coverage when you show up. Others offer insurance plans per rental. This typically includes:
- A certificate of insurance (COI) showing both liability and property damage coverage
- Or purchasing a damage waiver, which only partially covers damage and rarely covers theft or misuse
Large machines like mini excavators, skid steers, or towable lifts nearly always require commercial general liability insurance. Sunbelt Rentals and United Rentals, a couple of the big-box national brands, both explain this in their rental policies.
How RentX Does It:
At RentX, if you are using equipment for commercial purposes, you will need:
- General liability insurance (minimum $1M per occurrence)
- Property insurance that covers full replacement value
Alternatively, we offer a Damage Waiver that helps folks without this level of liability insurance in a limited capacity. The Damage Waiver covers certain types of accidental damage, excluding theft or misuse. This provides our customers with peace of mind, even if they have limited insurance for heavy equipment.
Like any legal material, there’s a lot of details, but we aim to keep things as smooth and jargon-free as possible. If you have questions, we are happy to explain your options over the phone or stop by in person. You can also download our complete Rental Policy PDF here.
Who Is Responsible If Equipment Breaks or Gets Damaged?
Common Industry Practice:
Anything and everything can happen. If equipment is damaged due to normal use, the rental company generally assumes responsibility. All rental agencies will state what they define as normal use, but it’s usually just exactly what it sounds like. The typical, intended use of the equipment. If machinery breaks due to misuse, negligence, or is stolen, the renter is liable.
This is standard across the industry, both in small local rental agencies and national companies. You can find good examples of this policy outlined by big national companies like Herc Rentals and EquipmentShare.
How RentX Does It:
If something breaks during regular operation, we instruct our clients to stop using the equipment immediately and contact us. We want to be part of that process as soon as possible to help you and ourselves. If the damage is from normal wear, we will replace or swap the machine at no cost to you, depending on availability.
If the machine was misused or improperly maintained, we follow the standard industry practices. The customer is responsible for repair or replacement, with costs falling on their insurance. These conditions are outlined in our rental agreement, but if you have specific questions, we’re happy to walk you through the details over the phone or in person.
What Happens If Equipment Malfunctions on the Job?
Industry Practice:
While any rental company worth their salt will keep equipment in tip-top condition, electronics or parts can malfunction. Most companies will attempt to send a technician for field service or provide a replacement if the equipment fails and cannot be fixed within a day or two. The renter is expected to stop using the equipment and notify the dealer, especially if continued use poses a risk to operators or to further damaging equipment.
How RentX Does It:
As a local rental company in the Smith county area, we mobilize quickly to either fix or replace malfunctioning machinery at your job site. If you’re working in Lindale, Tyler, Mineola, Garden Valley, or the surrounding region, we are close by and can act quickly. We will:
- Deliver a replacement as early as available (usually 1-2 business days)
- Quickly coordinate solutions by phone or text (without the pain of a national call center somewhere)
- Ask that you do not attempt to repair equipment on your own, since we have protocols in place
We keep downtime to a minimum and work to get you back up and running fast.
What Fees Should I Look Out For? (Fuel, Attachments, Late Returns, Deposits)
Typical Industry Practice:
Fees and additional charges vary from company-to-company. But, according to some of the big companies out there like Sunbelt Rentals, United Rentals, and RentalHQ, common charges include:
- Fuel fees if equipment is returned without a full tank
- Attachment fees for add-ons like augers or forks
- Late return fees, typically charged by the day
- Cleaning or damage deposits, especially on high-value rentals like excavators and towable lifts
How RentX Does It:
Our goal is not to hit you with surprise fees. That’s why we value transparency with our pricing and policies. While we follow most common industry practices when it comes to fees, being Lindale local helps us be a bit more flexible. Here’s some ways we improve on the typically industry practices:
- Return fuel full or we will refuel at the going rate, no markup
- Attachments are priced separately and clearly listed at checkout
- If you are running late, call ahead and we will work with you
- Deposits are usually not required unless insurance coverage is incomplete
No surprise fees, no vague billing language. Our goal is to leave you satisfied with your experience, not scratching your head over the bill. Feel free to give us a call if you have specific cases or questions about fees.
Do You Deliver to Job Sites? Are There Extra Fees?
Industry Practice:
Many rental companies provide delivery and pickup options, often with mileage-based fees or specific delivery windows. National chains may be less flexible with return timing or job site access. They’re goal tends to be to get the most out of customers for the least effort on their part. See Herc Rentals and RentalHQ for examples.
How RentX Does It:
